Strategic Partnering & Business Support Industrial Placement Student - Allergan Biologics Ltd

As a member of the CMC Development Operations team at Allergan Biologics Ltd in Liverpool, the Industrial Placement Student is responsible for providing an efficient and professional administrative support service for CMC Development Operations activities. The student will also support both internal colleagues on-site in Liverpool and external colleagues visiting from the Allergan global organisation and partner organisations.

Hours of work Monday – Thursday 0830 – 1700 hours and Friday 0830 – 1600 hours
45 minutes unpaid lunch break Monday – Thursday and 30 minutes unpaid lunch break on Friday.

What the incumbent can expect to learn during the 12-month placement:

Specific duties and responsibilities

CMC Development Operations

  • Provide administrative support to AVP and CMC Dev Ops Team i.e. Diary management, travel management arrangements via Concur/BCD system, meeting support, collation of travel expenses, request for foreign currency, project specific admin etc.
  • Provide support for legal documentation:
    • Take part in bi-weekly legal telecons with legal counsel in Marlow and team in Liverpool. Be responsible for maintaining the legal document tracker – work with technical teams to establish updates on progress of documentation and report back at legal telecons. Circulate tracker prior to telecons.
    • Liaise with external suppliers to progress contracts when necessary.
    • Working with technical teams to advise and signpost to legal templates and act as liaison between legal and Liverpool team.
    • Work with Snr. Manager to record and maintain legal documentation and undertake electronic and paper filing duties as required. Working with Global Procurement as and when required to send executed contracts for uploading to contracts database.
    • As and when required support the Snr. Manager with external events/conferences – ensuring promotional literature etc.is readily available as required. In addition, plan and arrange an external annual awards dinner for staff nominated by senior leaders.
    • Be an active member of the internal communications team and
    • provide assistance such as liaising with employees, promotion of internal events such as lunchtime seminars and annual science symposium and liaising with external speakers (as required).
    • Generate slides for TV screens to promote internal communications activities.
    • Generate induction promotional packs for new starters and pass to HR in readiness for Induction days.
    • Manage the stock levels of all business promotional materials
    • i.e. fleeces, pens, pads etc.
    • Liaise with suppliers for design and print of key promotional materials for the business as and when requested by teams such as EHS & HR.
    • Provide cover on Reception as and when required – duties such as answering calls to the switchboard and liaising with visitors as front of house member of staff - first point of contact for the business.
    • Arrange off-site meetings as and when required by Senior Leaders.
      Provide support on the day, recording of notes and distributing them to attendees promptly after the meeting etc.
    • Maintain a personal training record.
    • Comply with the requirements of the Company’s Health and Safety policies and practices at all times.
    • Any other duties which may be required from time to time.

  • Provide support to partnering relationship managers to set up business meetings with current/potential partners as required to support the team.
  • Ensure business meetings are managed professionally - provide logistics support for visitors, manage room bookings, calendar invites, presentation preparation materials, agendas, ground transportation, refreshments & lunches are served appropriately etc.
  • Being a pro-active member of the Liverpool Strategic Partnering Team – create and issue agendas, take notes and circulate following meetings.
  • Update and maintain the Strategic Partnering Dashboard with current updates from relationship managers and any actions created in meetings. The dashboard will be used to inform discussion at meetings: Project Prioritisation, CMC Development Operations and the Strategic Partnering team.
  • Being a friendly and professional point of contact for the business - you will be an ambassador for the Allergan Biologics/Allergan brand.
